Your organization buys a number of Enterprise Pro and Enterprise Max seats and assigns them to people. Because a seat belongs to the organization rather than to an individual, you can move a seat from one person to another without buying a new one.
Overview
Seats are purchased capacity. Changing who holds a seat is a separate action from changing how many seats you pay for.
Reassign freely — a freed seat can be given to someone else straight away.
Predictable billing — removing a member does not change what your organization has purchased.
One place to change quantities — an admin sets seat numbers in Billing, on your own schedule.
Availability: This seat model applies to organizations that pay Perplexity directly by card on a single billing interval. Organizations on sales-assisted contracts keep their existing seat and billing behavior. If you are not sure which applies to your organization, contact your account team.
Reading your seat counts
To see your seats, go to Organization settings → Billing and find the Seats section. Each tier shows a total beside its name, such as Pro seats 4, broken into three rows.
| Row | What it counts |
|---|---|
| Available | Seats you have purchased that nobody is using yet |
| Assigned | Seats held by members with paid access |
| Invited | Seats held by pending invitations |
Assigned and Invited together make up the seats in use. Available is what is left.
Note: A pending invitation holds a seat from the moment it is sent until it is accepted, canceled, or declined. If invitations are outstanding, your Available count will be lower than your member list suggests. Canceling an invitation you no longer need returns its seat to Available.
What happens when someone leaves or changes tier
Removing a member, canceling a pending invitation, or moving a member to another tier frees the seat they were using. That seat becomes Available immediately and can be assigned to someone else.
None of those actions reduces the number of seats you have purchased, and none of them creates a refund or a credit for the rest of the billing period.
Important: Removing a member does not lower your bill on its own. To pay for fewer seats, an admin has to reduce your seat count in Billing, and that change takes effect at the start of your next billing period.
Changing a member’s tier
Enterprise Pro and Enterprise Max seats are counted separately, so moving a member between tiers needs an Available seat in the tier you are moving them to. This applies in both directions.
When you change a member’s tier from the Members screen, a confirmation appears — for example Move Ana from Pro to Max? It explains that the move will add one seat in the new tier and make the old seat available again. If no seat is available in the target tier, the confirmation buys one, and the button reads Purchase 1 Max seat.
Important: Moving a member to a lower tier can still generate a charge. A Max-to-Pro move needs an Available Pro seat, and buys one if you do not have it, while the vacated Max seat stays purchased and becomes Available. Lowering a member’s tier is not the same as lowering your bill.
Adding seats
Go to Organization settings → Billing.
In the Seats section, select Manage to open Add or modify seats.
Raise the Seat count for the tier you need. The Cost change column and the projected change update as you edit.
Select Next, review Confirm seat purchase, then select Purchase seats.
Added seats start today and may be prorated, so the confirmation shows a total due today rather than your full recurring charge.
You can also add a seat while inviting someone. If no seat is available in the tier you selected, sending the invitation opens a confirmation such as Add 2 Max seats, which explains how many additional seats the invitation needs. You can cancel and free up seats instead by removing members or canceling pending invitations.
Reducing your seats
Go to Organization settings → Billing.
In the Seats section, select Manage.
Lower the Seat count for the tier you want to reduce.
Select Confirm.
A reduction takes effect at the start of your next billing period, not immediately. That is your next month on a monthly subscription, or your next annual renewal on a yearly one, so a reduction made early in an annual term can be up to a year away. Until then you keep the seats you have already paid for and can assign them to anyone.
You cannot set a seat count below the seats currently Assigned and Invited. Free up seats first by removing members or canceling pending invitations, then lower the count.
Scheduled seat changes
Once a reduction is scheduled, the Seats section shows a banner reading Seat reduction scheduled for the date it applies, together with the change for each tier, such as Pro 12 → 11 · Max 5 → 4.
To undo a scheduled reduction, select Cancel changes in that banner. Your seats and recurring charge stay the same.
If you send an invitation that needs a seat your scheduled reduction would remove, the invitation confirmation offers to adjust the schedule instead of buying a seat. It appears as Update seat reduction to assign a member and shows the change for each tier.
Who can change seats
The table below shows what each role can do with your organization’s default permissions.
| Action | Admin | Member |
|---|---|---|
| Invite people to paid access | Yes | Yes, if your admin allows it |
| Assign or change a member’s tier | Yes | Not available |
| Remove a member | Yes | Not available |
| Add seats beyond what an invitation needs | Yes | Not available |
| Reduce the seat count | Yes | Not available |
Members who can send invitations can only add the exact number of seats their invitation needs. They cannot buy spare seats and cannot reduce your seat count.
Note: Your organization can change these defaults. An admin can grant any of these permissions to the Member role or to a custom role, so the people who can invite, assign tiers, or change your seat count may differ from the table above. See Enterprise roles and permissions for how to review and change them.
Important: If you allow members to invite people, their invitations can add Enterprise Pro or Enterprise Max seats and increase your recurring charge without showing them a purchase confirmation. To turn this off, go to Organization settings → Members and disable the member invitation permission.
Frequently asked questions
I removed a member. Why didn't my bill go down?
I removed a member. Why didn't my bill go down?
Removing a member frees their seat but does not change what your organization has purchased, so your recurring charge stays the same. To pay for fewer seats, reduce your seat count in Billing. The reduction takes effect at the start of your next billing period.
Can I get a refund for the rest of the period after removing someone?
Can I get a refund for the rest of the period after removing someone?
No. Removing a member or lowering their tier partway through a billing period does not create an automatic refund or credit. You keep the seat and can assign it to someone else for the rest of the period.
Can I move a seat from one person to another?
Can I move a seat from one person to another?
Yes. Remove the member who holds the seat, then invite the new person to the same tier. The freed seat is Available immediately, so no new purchase is needed.
Why do I have no available seats when some people haven't joined yet?
Why do I have no available seats when some people haven't joined yet?
Pending invitations hold seats and appear in the Invited row. Cancel any invitations you no longer need and those seats return to Available.
Does canceling a pending invitation lower my bill?
Does canceling a pending invitation lower my bill?
No. It returns the seat to Available so you can assign it to someone else. Your purchased seat count stays the same until an admin reduces it in Billing.
Why am I charged when moving someone from Max to Pro?
Why am I charged when moving someone from Max to Pro?
Each tier has its own seats. A Max-to-Pro move needs an Available Pro seat and buys one if you do not have it. The Max seat the member leaves stays purchased and becomes Available, so you can assign it to someone else or reduce it in Billing.
When does a seat reduction take effect?
When does a seat reduction take effect?
At the start of your next billing period. That is your next month on a monthly subscription, or your next annual renewal on a yearly one, so a reduction made early in an annual term can be up to a year away. The Seats section shows the scheduled change and its date until then, and you can undo it with Cancel changes.
